3.3 Information from other sources
We may receive information from the School, from other alumni (for example, when someone nominates you or updates class records), from social media platforms if you sign in or interact with us through them, and from publicly available sources. Where we receive information this way, we will handle it in line with this Policy.
4. How We Use Your Information
We use personal information to:
- operate, maintain and improve the Website;
- create and manage your membership and account, and run meetings, elections and voting (including by electronic means);
- keep alumni records and the official Register of Members, and help alumni reconnect with one another;
- organise and promote reunions, events, fundraising drives, scholarships, mentorship and other alumni programmes;

- protect the Website and our community against fraud, abuse and security threats;
- comply with legal obligations and enforce our terms.
5. Our Basis for Using Your Information
We process your information on one or more of these grounds:
- Your consent, for example when you subscribe to our mailing list, opt in to a public alumni directory, or accept non-essential cookies. You may withdraw consent at any time.
- Performance of a contract or request, such as managing your membership or processing an event registration.
- Our legitimate interests, such as maintaining alumni records, keeping the Website secure, and communicating with our alumni community, provided these interests are not outweighed by your rights.
- Legal obligations, such as accounting, tax or regulatory requirements.
6. Alumni Directory and Public Information
Our alumni directory and member profiles are coming soon. When they launch, the following will apply:
- information is shown only if you choose to include it or have given your consent;
- you decide which details (for example, name, graduation year, profession, city) are visible, and to whom (public, logged-in members only, or administrators only);
- you may edit or remove your listing at any time, or ask us to do so.
Please remember that anything you post publicly may be seen, copied or shared by others, and we cannot control how third parties use it.
7. Cookies and Similar Technologies
Cookies are small text files placed on your device. We use:
- Essential cookies, needed for the Website to function (for example, WordPress login cookies for members and the cookie that stores your consent choices);
- Payment cookies, set by our payment provider Stripe to detect fraud and process donations and payments;
- Analytics cookies, which help us understand how visitors use the Website (we use Google Analytics);
- Third-party cookies, such as those set by embedded videos or social media buttons. We also use a pop-up cookie that limits how often our upcoming events pop-up is shown. We do not display third-party advertising on the Website.
When you first visit, our cookie consent tool lets you choose which non-essential cookies to accept, and you can change your choices at any time. You can also control cookies through your browser settings. Blocking some cookies may affect how the Website works.
For more detail on the cookies we use and how to manage them, see our Cookie Policy.
8. How We Share Your Information
We do not sell your personal information. We may share it with:
- Service providers who help us run the Website and our activities, such as our web host (GoDaddy), our email provider (Google Workspace), payment processors, and analytics providers (Google Analytics). They may use your information only to provide services to us.
- Trinity College, our Class Representatives and recognised Chapters, who help us keep alumni records, stay in touch with alumni and run alumni programmes, reunions and events, in line with procedures approved by our Board.
- Other alumni, only as described in Section 6 or where you ask us to.
- Professional advisers, regulators, courts or law enforcement, where required by law or to protect rights, safety and security.
- Successors, in the event of a reorganisation, merger or transfer of the association’s activities, in which case we will ensure your information remains protected.
9. International Transfers
Our service providers, our International Chapter and many of our alumni may be located outside Trinidad and Tobago, including in the United States and other countries. Where your information is transferred abroad, we take reasonable steps to ensure it is protected to a standard appropriate to this Policy and applicable law, for example through contractual safeguards.
10. How Long We Keep Your Information
We keep personal information only as long as needed for the purposes in this Policy:
- Alumni records: for as long as you remain part of the alumni community, unless you ask us to delete them;
- Mailing list data: until you unsubscribe;
- Financial records: for 7 years, or as required by law;
- Enquiries: for 2 years after our last contact;
- Website analytics: for up to 14 months.
When information is no longer needed, we delete or anonymise it.
11. Security
We use reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS), access controls, and trusted service providers. However, no method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please use a strong, unique password and keep it confidential.
12. Your Rights and Choices
Subject to applicable law, including the Data Protection Act 2011 of Trinidad and Tobago, and, where it applies to you, the EU/UK General Data Protection Regulation, you may have the right to:
- know what personal information we hold about you and request a copy;
- ask us to correct inaccurate or incomplete information;
- ask us to delete your information;
- object to or ask us to restrict certain processing, including direct marketing;
- withdraw your consent at any time, without affecting earlier processing;
- receive your information in a portable format (where applicable);
- complain to a data protection authority. In Trinidad and Tobago this may include the Information Commissioner under the Data Protection Act 2011; if you are in the EU or UK, you may contact your local supervisory authority.
To exercise these rights, contact us at info@tcaa.org.tt. We may need to verify your identity first, and we will respond within a reasonable time.
Unsubscribing: You can opt out of our emails at any time by replying to any message or contacting us at info@tcaa.org.tt.
13. Children’s Privacy
The Website is open to visitors of any age, but membership registration is limited to people aged 18 and over, and the Website is not directed at children under 13. We do not knowingly collect personal information directly from children under 13. Where we recognise current students of Trinity College as Student Affiliates for mentorship and student engagement, some may be under 18; we collect their information only through the School or with the consent of a parent or guardian, and use it only for those programmes. If you believe a child has provided us with personal information, please contact us and we will delete it.
14. Third-Party Links and Services
The Website may link to or embed third-party websites and services, such as social media, video platforms, the School’s website or payment pages. We are not responsible for their privacy practices. Please read their policies before giving them your information.
15. Photos and Event Media
We may take photos or videos at alumni events and publish them on the Website or our social media pages to celebrate and promote the community. If you do not wish to appear in published media, tell the event organiser or contact us, and we will make reasonable efforts to remove you from images or tag lists.
16. Changes to This Policy
We may update this Privacy Policy from time to time. When we make significant changes, we will update the “Last updated” date above and, where appropriate, notify you by email or a notice on the Website. Your continued use of the Website after changes take effect means you accept the updated Policy.
